Our venue finding provided a number of available 5-star central London hotels in line with the client’s budget and brief, and a detailed proposal document was sent including venue details, meeting room specifications, rates negotiated, and savings achieved. Site visits of the proposed venues were arranged so the client could view the meeting space first-hand.
The venue that the client was most interested in was available on a 2nd option basis (another company had first refusal on the space), so once the client was able to go to contract, we liaised with the venue to issue a deadline to the company on 1st option, to confirm or release the space to us within 24 hours.
The space was successfully secured on 1st option and the client instructed us to confirm on their behalf, whereby we reviewed the contract documents for accuracy before they were sent to the client for signing.
As the client’s single point of contact for the event, we assisted with all further event arrangements such as the AV package, room set-up, event timings, final delegate numbers, breakfast buffet menu and also pre-payment by the client.
