Attendees for this training course were travelling into Glasgow from other locations in Scotland so our venue finders identified possible venues within close proximity to both Glasgow rail stations and NCP car parks.
As accommodation wasn’t required, the selection of available Glasgow venues we shortlisted included some hotels but also dedicated conference and training centres.
Using our existing contacts at the venues, we negotiated discounted delegate package rates and minimum numbers which were considerably below the venues’ usual selling rates.
All venue space was provisionally held by us and information was presented to the client in a comprehensive proposal including full cost analyses and training room specs (location, dimensions, capacity, daylight, special features etc.), images and floor plans to demonstrate how the proposed spaces would work for the client.
From our proposal the client chose a contemporary training venue perfect for their event. Having previously booked the venue, our venue finders were able to match this client’s needs with the ideal training room; it was exclusive to one floor of the venue, had capacity for 100 cabaret-style and featured a large breakout space with self-service refreshments, lounge seating and an area for the client’s product displays.
We confirmed the venue on the client’s behalf and worked with them to ensure the contract was accurate before sending to them for signing.
Continuing to act as the client’s single point of contact, we liaised with the venue to confirm the final details for the event, including delegate numbers, timings for breaks and lunch, and payment.
